This article covers three things: what problem Procountor actually solves, what the software itself costs, and how you move to it from whatever you do now. You do not need to understand accounting first. What you need to know is where receipts go, what you can see each month, and where the money goes.

01 · Why

Scattered steps
into one system

A small company's books rarely come apart over something big. Usually it is a receipt left in a coat pocket, a payment reminder nobody saw, or a spreadsheet only one person knows how to use.

These steps are scattered and they rest on one person. When that person takes a holiday, the chain breaks. Procountor brings them into one secure cloud service: data is entered once, and the bookkeeping, reports, VAT returns and year-end accounts are all produced from that same record. The same figures are not copied from one spreadsheet to another.

Put differently: it used to be a pile of paper handed to the accountant at month end, then waiting. Now the transaction goes into the system the day it happens, and month end is just closing the books. The difference is not how many hours you save. It is that you see the numbers mid-month instead of finding out after the month has ended.

You can see where you stand

Income, expenses, what you are owed and what you owe, on your phone or computer. Owners look at receivables most: who has not paid yet and how long the invoice has been open. One glance, without going through the bank statement line by line.

Paper becomes digital

Invoices are uploaded with the app and paper receipts are stored by photographing them. The receipts shops and petrol stations print fade to unreadable within six months. The photograph does not.

Every invoice has a status

You can see whether it arrived, who looked at it, whether it was approved and whether it was paid. Paying the same invoice twice, or not paying it because everyone assumed someone else had, is the most common failure. With the status recorded, the misunderstanding cannot happen.

The bank feeds the system

Payments and statement entries come straight in. You authorise it once in your online bank, and after that the data arrives on its own. No exporting a file and pasting it in every month.

Each location, counted separately

Procountor can track costs by location or by project. After you open a second restaurant this matters more than anything else: which one earns and which one does not, without separating the figures yourself. Perus has 2 tracking dimensions, Plus has 4, larger packages 6.

02 · Mobile

Photograph a receipt
and it is in the system

Large invoices usually get watched, because they are visible and someone chases them. What piles up is the small ones: fuel, parking, a screw from the hardware shop, a box of napkins bought in a hurry.

You do not miss a single receipt worth a few euros, but over a year they add up to thousands in costs. Those costs would be deductible. If the receipt cannot be found, the deduction is lost.

Procountor’s mobile app is built for exactly this step: photograph the receipt while it is still in your hand, and the image and the amount go into the system together. Losing the original later no longer breaks the bookkeeping. The app is called Procountor and is on both the App Store and Google Play. It detects the edges of the receipt and crops it for you, and reads the amounts into the fields.

Photograph receipts on the spot

The image is stored and attached to the right voucher. Under the Finnish Accounting Act, vouchers must be kept for at least six years and their content must be viewable and printable in legible form. A faded receipt does not meet that. The Act also permits changing the storage format from paper to electronic as long as the content and the audit trail are preserved, so photographing is a compliant way to do it.

Travel and expense claims

Mileage, per diems and costs an employee paid out of pocket are filed on the phone. In 2026 the tax-free mileage allowance in Finland is €0.55 per km and the full domestic per diem is €54. The system brings in the current year figures published by the Tax Administration, so you do not have to remember them.

Approve purchase invoices on mobile

An incoming invoice goes through a check and an approval. Who checks and who approves is set per person. The person responsible signs off on the phone, so payment never sits in someone's inbox. Kevyt allows 1 checker and 1 approver, Perus 2 and 1, Plus 3 and 2.

Invoice from wherever you are

When the work is done the invoice can go out immediately and the customer has it the same day. The sooner the invoice goes, the sooner the money is in the account.

03 · Invoicing

A record from arrival
to payment

The hard part about a paper invoice is not the paper. It is that you cannot see what stage it is at. Did it arrive, who saw it, was it approved, was it paid.

Finding out takes half a day and the answer is still not certain. With electronic invoicing those details are recorded in the system.

One thing many people miss: you have the right to require an e-invoice from your supplier. It is set out in Finland’s 2019 e-invoicing act and has applied since April 2020. The right covers businesses whose turnover for the accounting period exceeds €10 000, and the request cannot be refused. So if a supplier is still sending paper, you can simply ask them to switch.

Sending and receiving e-invoices

Your sales invoice goes straight into the customer's system and a purchase invoice straight into your queue. No printing, envelopes or postage. Sending or receiving costs from about €0.67, less than a stamp.

Every step is recorded

Each invoice carries a note of when it arrived, who checked it and when it was paid. When the Tax Administration or an auditor asks, you pull it from the system instead of reconstructing it afterwards.

Payslips to online banking

Payslips go to the employee's own online bank. No printing and no separate email. About €0.64 each. In a company with a dozen or so staff this saves several hours a year.

A whole batch at once

Customers billed the same amount monthly can be invoiced as one batch. Batch invoicing is available from Perus upward, and contract-based recurring invoicing from Max upward.

04 · Tier

Platinum partner

1 300 accounting firms in Finland use Procountor. Platinum is the top tier of that official grading, and the assessment looks at more than client numbers.

Platinum is assessed, not self-declared

How many certified specialists the firm has, how staff are trained, how many clients genuinely run electronic bookkeeping, and how closely the firm works with Procountor. Platinum is awarded only when every one of those is met. In other words, Procountor established this by assessing us. We did not write it into our own marketing copy.

Advanced functions have to be configured by someone

Splitting costs by location, multi-step approval routing and automated posting rules do not arrive switched on. They are configured once, around how your business actually works. That one-off setup is what removes the same task from every month afterwards. Where bookkeeping stays at the basic level, the reason is usually that nobody did this step.

When something breaks we reach a person

A platinum partner has a dedicated support channel. When the bank connection drops at month end or a filing gets stuck, a day of delay shows up in payroll and in filing deadlines. We get a person at Procountor on it rather than leaving a ticket in a queue.

05 · Service

What you get
from us

Software is a tool. Whether the finances actually run smoothly also depends on whether someone behind it is keeping the rules in view.

Every month we do the following: process vouchers, reconcile, file the VAT return, and produce the profit and loss account and the balance sheet. If the company has employees, payroll and the related filings come with it.

Compliance

VAT, payroll and tax returns are handled for you. The reports are clear and you can follow the trail from a single voucher through to the accounts, so the material stands up in an inspection. We keep the deadlines, so you do not need reminders in your own calendar.

A transparent process

You know what is being done, what it costs and when it will be finished, and you can follow progress in the system yourself. Billing is based on work actually done, not on a monthly figure someone guessed.

Digital and secure

Encrypted data transfer, two-factor login and access rights set per person. Who can see which data is defined in advance. A restaurant manager can see their own location's costs, for example, but not salaries.

Software fees

The software fee is not included in the bookkeeping service price. We only do electronic financial management, so Procountor is required. Your company pays that fee directly to Procountor. It does not pass through us and we add no margin.

Which package should I take?

Procountor’s packages are set by the number of vouchers per month. Note that more counts as a voucher than you might assume: sales and purchase invoices, travel and expense claims, payslips, VAT calculations, filings to the authorities, orders and memo vouchers. A company sending 20 invoices, receiving 15 purchase invoices and running 5 payslips a month is already close to 40 vouchers.

Under 10 vouchers a month, no employees

Kevyt, €25.90 per month.

Around 40 vouchers a month, a few employees

Perus, €82.90 per month.

Over 200 vouchers a month, several locations

Plus and up, from €344.90 per month.

Picking too small a package is not a problem: vouchers over the limit are billed per item at €1.79 to €4.19, and the per-item price falls as the package gets bigger. Moving from a smaller package to a larger one is free. Going the other way, from a larger package to a smaller one, costs €68.90. So when in doubt, start with the smaller one.

All prices are excluding VAT, with 25.5 % added; a VAT-registered company can normally deduct it. The opening fee starts at €169.90, and Procountor runs campaigns that waive it regularly. A newly founded company gets Procountor with no monthly fee until the end of the year. Prices checked on procountor.fi on 29 July 2026; the current prices are on their site.

07 · Switching

How you move
from what you do now

Whether you use paper, Excel or another accounting firm, we handle the switch at no cost. Bookkeeping and payroll do not stop for a single day.

Collect the material

We obtain the bank statements, ledgers and balances from your previous firm. We deal with them directly, so you are not stuck relaying messages between two parties.

Import it

Balances and ledgers go into Procountor, and we set the switchover date to the start of a month or a quarter, so the old period and the new one join up cleanly.

Bank authorisation

You authorise it once in your own online bank, after which transactions flow in by themselves. This is the only step that needs you personally.

Normal running

After the switch you pay the normal monthly fee. We do not charge for changing accounting firms.

Things people
have asked

Is the Procountor fee included in your bookkeeping price?

No. Your company pays the software fee directly to Procountor and we add no margin. What we charge is the bookkeeping service, from €69 per month.

Can you do my bookkeeping some other way, without Procountor?

No. We only do electronic financial management: vouchers, invoices, payroll and filings all move through one system. That is what lets us tell you the price and the schedule in advance.

What counts as one voucher?

Procountor counts sales and purchase invoices, travel and expense claims, payslips, VAT calculations, filings to the authorities, orders and memo vouchers. A company sending 20 invoices, receiving 15 purchase invoices and running 5 payslips a month is already close to 40 vouchers.

Are the software prices with or without VAT?

The prices listed on Procountor's site are excluding VAT, with 25.5 % added on top. A VAT-registered company can normally deduct that VAT.

Do I have to keep the original paper receipts?

No. The Finnish Accounting Act requires vouchers to be kept for at least six years, and their content must be viewable and printable in legible form. The Act also allows the storage format to be changed, as long as the content and the audit trail are preserved. A photographed receipt in the system is enough.

Does changing accounting firms cost anything?

No. We collect the material, import it and agree the switchover date. Bookkeeping and payroll do not stop for a single day.
